The Administrative Associate will provide the administrative backbone needed to advance, advocate and amplify the work of our world-class faculty. This position will join a hybrid team and be dedicated to the operation, organization, and enhancement of our office and facilities, including executive assistance and supervision of student assistants.

Primary Purpose of Organizational Unit
The mission of the Institute for the Arts and Humanities ( IAH) is to empower faculty to achieve their full potential by creating community and cultivating leadership. The IAH supports, promotes and deploys the arts and humanities through its Faculty Fellows Program; and by sponsoring conferences, lectures, and public conversations. It trains and supports current and emerging university leaders through the Academic Leadership Program. The Institute promotes community through its Faculty Programs, which build mentoring networks for faculty at all stages of their academic careers.

About the Team: The team currently comprises 8 collaborative, hard-working and mission driven members. We work together on numerous projects, programs, and events to enhance the support we give to faculty. The team is intellectually curious and thoughtful when it comes to working with each other. We keep meetings casual but efficient. We provide space for everyone to express themselves and make sure everyone is heard. Whenever possible, we try to find consensus or compromise. Respect and trust is key along with strong communication to keep us moving toward our goals.
Position Summary
This position may be eligible for a hybrid work arrangement that may include a partially remote work location, consistent with System Office policy. UNC Chapel Hill employees are generally required to reside within a reasonable commuting distance of their assigned duty station.

The Administrative Associate position provides high-level administrative support which enables the Institute for the Arts and Humanities ( IAH) to maintain efficient and effective operational practices. This role serves as the IAH's administrative support for the team and even more specifically provides executive administrative support to the IAH director and executive director. Duties required to achieve maximum operating efficiencies and effectiveness include but are not limited to: serving as the initial contact for the IAH; ensuring the management of the office and administrative operations; co-managing work-study students and volunteers; calendar management; independently drafting correspondence and letters for IAH leadership; overseeing facility renovation projects and maintenance; supporting venue reservations; supporting program preparation and activities; interpreting policies; presenting research and information to staff; managing administrative, office and facilities budgets; processing travel, invoices, P-cards, reimbursement and CBM charges; covering the front desk; overseeing mail distribution and receiving; maintaining IAH email and calendar; creating forms using software; and demonstrating responsiveness and strong customer service.

The position reports to the Executive Director.
Minimum Education and Experience Requirements
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Required Qualifications, Competencies, and Experience
Previous experience providing executive support and administrative support to a team is required. Proficiency in Microsoft Office Suite and Adobe Acrobat is also required.
Preferred Qualifications, Competencies, and Experience
Preferred qualifications include:

  • Experience managing office supplies and inventories and tracking budgets.
  • Experience working as a front desk receptionist.
  • Experience managing supplies, inventory and building.
  • Experience crafting communications.
  • Experience coordinating maintenance requests.
  • Experience using Qualtrics.


Required Licenses/Certifications
Special Physical/Mental Requirements
Ability to move event/meeting space furniture for set up and clean up. Ability to lift up to 40 lbs with or without an accommodation.
