Position Description:

As an Administrative Assistant Sr in the Department of Psychiatry and Behioral Medicine you will perform routine and advanced administrative duties requiring considerable skill and in-depth knowledge of organizational policies and procedures under general direction.

Primary Functions

  • Schedule, cancel and reschedule new and established patient appointments via phone, following detailed protocols, ensuring accuracy.
  • Obtain or update existing patient registration information and referrals, as needed.
  • Verify insurance.
  • Assist with managing referral workqueues.
  • Provide backup to clinic front desk staff, including check-in and check-out.
  • Use discretion in information provided. Anticipate patient needs and resolve problems to ensure a positive patient experience. Employ sound judgment to ensure the best possible public relations.
  • Provide general administrative support to faculty, residents and staff for the Tosa Health Center Clinic in the Department of Psychiatry and Behavioral Medicine.
  • Generate reports, letters and perform audits for compliance with state-mandated requirements and enterprise standards.
  • Maintain HIPAA confidentiality of department and patient data.
  • Utilization of spreadsheets and electronic filing systems.
  • Release medical record and patient information in accordance with MCW and HIPAA policies.

Knowledge - Skills - Abilities

Knowledge of computers, clerical procedures, customer service standards, collaboration, and information management.

Organization, time management, interpersonal, communication, and problem-solving skills.

Position Requirements:

Appropriate experience may be substituted on equivalent basis

Minimum Required Education: High school diploma

Minimum Required Experience: 5 years of experience

Preferred Experience: Epic proficiency, healthcare, Microsoft 365.
