About This Role:

Housing and Dining Services (HDS) seeks qualified applicants for the position of Office Specialist II to coordinate office activities for Kramer Dining Center. This position will perform a variety of office/administrative support duties with a strong focus on the care and support of internal customers.

Duties and responsibilities include, but are not limited to:



  • Coordinating general office activities.
  • Serving as office receptionist and answer multi-line telephone.
  • Supporting administrators by preparing routine reports, compiling data for non-routine reports, sales and billing information.
  • Preparing hourly student employment forms for approximately 250 hourly student staff.
  • Reporting and monitoring time and leave using electronic timekeeping system for hourly student staff and approximately 60 full-time staff.
  • Assisting full-time scheduler with work schedules for student staff.
  • Assisting and interacting with staff and management for assistance and support related to human resources and payroll.
  • Maintaining work unit personnel records.
  • Coordinating HR related functions with HDS human resources staff.

What You'll Need to Succeed:

Minimum Qualifications:



  • Requires one year of relevant experience.


Preferred Qualifications:



  • High School Diploma/GED
  • Competency with MS Word and Excel
  • Completion of course work in office practices, computers and bookkeeping or accounting
  • Two years clerical/general office experience including bookkeeping and time and leave
  • Familiarity with electronic timekeeping system or human resource information systems
  • Knowledge of and ability to effectively interpret department procedures and policies
  • Effective written and oral communication skills


Other Requirements:



  • Certification as Notary Public upon employment.
