Overview

The Lead Pathology Secretary directs the daily workload performed by the Pathology Secretaries ensuring that the department provides exceptional support to the Department of Pathology and to the pathologists.

Responsibilities

Key Accountability Demonstrates technical skills required to operate and serves as resource person for office equipment utilized in Anatomic Pathology secretarial area.

  • Utilizes the Voicebrook system for transcribing Pathology reports.
  • Assists Pathologists in troubleshooting Voicebrook issues.
  • Operates efficiently the computer, fax machine, standard typewriter, copy machine and printers.
  • Understands and utilizes the various phone features
  • Notifies the appropriate individual or department when there are equipment failures or problems
  • Serves as the resource person for troubleshooting/problem solving equipment, Voicebrook, etc.


Key Accountability Demonstrates ability to distribute workload to assure accurate processing, transcription, billing and reporting of Anatomic Pathology cases.

  • Prepares, transcribes, bills, scans, faxes and files anatomical pathology tissue reports, flow cytometry reports, autopsy reports.
  • Sends tissue for stone analysis and monitors results.
  • Refers appropriate materials for outside consultations; follows up on outstanding reports; bills appropriately.
  • Distributes reports of referred testing to pathologist for review;
  • Always checks for previous anatomical pathology work by looking history in LIS
  • Checks for and prints clinical information from the HIS as requested.
  • Checks patient information for accuracy
  • Charges and credits all patients' specimens.
  • Scans in attachments and files
  • Constructs the report correctly adhering to transcription procedure; utilizes editing skills to ensure the report is accurate
  • Transcribes at an acceptable speed (125 lines per hour) when Voicebrook recorder is used as opposed to front-end dictation
  • Checks to make sure all reports have been verified by the pathologist.
  • Oversees preparation, transcription and distribution of anatomical pathology reports.
  • Ensures workload is being handled efficiently and directs team members as needed to reallocate resources.
  • Acts as the primary liaison with the Pathologists, assuring physician priorities can be met by the Pathology Team.


Key Accountability Demonstrate technical skills required to perform all duties in the anatomic pathology section.

  • Prepares pathologist's correspondence
  • Formats and updates the pathologist's daily and call schedule as required (if assigned); distributes appropriately.
  • Types consultations per pathologist's request
  • Distributes ER/PR/HER-2/neu results
  • Performs miscellaneous typing as needed
  • Copies and collates pathology surgical reports for pathologists to present to tissue committee, if assigned.
  • Pulls randomly selected cases for pathology surgical review as part of the QA process, if assigned.
  • Supports QA process by providing other clerical functions as required.
  • Provides clerical duties to support the laboratory
  • Oversees department resources and ensures pathologists are adequately supported.
  • Provides training to current and new staff as needed.


Key Accountability Insures smooth and efficient daily operations.

  • Coordinates work schedules to ensure coverage, adjusts as needed to meet the department and pathologists needs.
  • Trains employees and evaluates their competency
  • Acts as a resource for the department and assists coordinator in evaluating processes for the best workflow, maximizing efficiencies and minimizing errors.
  • Writes and updates policies and procedures
  • Ensures all training material is up to date.
  • Solely responsible for collecting and collating paperwork associated with autopsies and assuring each autopsy has a unique and complete file
  • Contributes ideas and assists in implementing changes to insure cost-effective operation of the department.
  • Supports co-workers by assisting in department support activities; restocks supplies, orders supplies when inventory is low, completes, packages older reports to be sent to the warehouse
  • Answers the phone and provides AP information as needed; accurately documents all messages and distributes promptly
  • Cleans and maintains equipment, work storage areas.
  • Displays a willingness and interest in learning new procedures or in cross training.
  • Generates and reads electronic messages using e-mail system.
  • Provides support for other laboratory sections by assisting when staffing shortages or heavy workload events occur and helping to maintain lounge areas used in all sections. Maintains color printer in AP section. Orders toners, fusers, etc. and installs.

Compensation and Benefits

The compensation range for this position is $16.59per hour - $26.88per hour. This represents a good faith minimum and maximum range for the role at the time of posting by Carle Health. The actual compensation offered a candidate will be dependent on a variety of factors including, but not limited to, the candidate's experience, qualifications, location, training, licenses, shifts worked and compensation model.
