About the Job
Summary of Duties/Responsibilities: The Department of Medicine Cardiovascular Advanced Program Administrator (PA) will provide direction and leadership for the Cardiovascular fellowship office, and day-to-day management of Cardiovascular Disease subspecialty fellowship programs, including three ACGME-accredited and six unaccredited fellowships.The PA, as a member of education teams including multiple Program Directors, Site Directors, and the Cardiovascular Fellowship PA, provides education coordination between attending physicians/providers, fellows/trainees, hospital/clinical sites, and institutional and regulatory administrative offices. This position reports to the Fellowship Associate Education Manager in the Department of Internal Medicine, and works closely with Med Ed Fellowship team members and the Cardiology administrative team.
Given the number of programs and teams involved, ideal candidates will be skilled in building and maintaining partnerships, communicating effectively, and managing complex projects. Ideal candidates would also have experience in graduate medical education program management, or a willingness to learn, and motivation to become an integral part of the team. A successful candidate must demonstrate initiative, resourcefulness, and problem-solving skills in applying detailed knowledge of the responsibilities, functions, and underlying management structure of accrediting organizations, the Department of Medicine, and the larger institution. They take responsibility and follow through on tasks, organizing and independently prioritizing work, establishing procedures and systems, and ensuring orderly and timely workflow. They are comfortable in a fast-paced working environment managing multiple priorities. This position will be expected to be on-campus a minimum of 3 days per week, with occasional evening or weekend activities.
Major Areas of Responsibility:
Program Accreditation Management & Administration (50%) Manage program requirements for three ACGME-accredited and multiple non-accredited subspecialty fellowship programs. Recommend enhancements to drive accreditation preparedness with an understanding of organizational impact on the programs and their specific process and requirements. Ensure program compliance with University and Graduate Medical Education requirements. Clinical Competency Committee (CCC): Develop and manage evaluation system of trainees, faculty and rotations. Plan and execute on approach to submit milestone reports to the ACGME, and provide appropriate evaluations to non-accredited fellows. Program Evaluation Committee (PEC): Partner with committees to develop and implement action plans for programs to meet goals set during the annual program evaluation. Plan, coordinate and manage program components through Residency Management Suite (RMS), including evaluations, personnel data, and rotation schedules and assignments (rotation protocol), which directly impact Medicare reimbursement. Industry Grants: Manage applications and compliance with requirements for granting organizations, University finance, and Sponsored Projects Administration.
Trainee Progression and Certification Management (25%) Monitor and maintain detailed knowledge of the national governing board's physician training requirements. Formulate and recommend program level solutions in response to policy and requirement changes. Clinical Competence Committee (CCC): Manage evaluation system of trainees, faculty and rotations used by the CCC. Amend evaluations to reflect changes in the ACGME requirements. Develop and execute on approach to submit milestone reports to the ACGME. Manage events and educational training offerings. Analyze program requirements to ensure successful execution to meet changing needs of the program, accrediting bodies, affiliates, and medical school. Plan and execute on program orientation curriculum and other standard GME events such as graduation, retreats and exams
Recruitment Planning & Execution (20%) Ensure compliance with the National Residency Matching Program (NRMP) Policies and Procedures. Leverage the Electronic Residency Application System (ERAS) and Thalamus to streamline the applicant screening and scheduling process. Manage recruitment for all programs, including but not limited to: Application review process Applicant website and promotional materials Interview and ranking processes
Cardiovascular Team Leadership (5%) Develop trusting relationships with Cardiovascular program directors and administrative leaders Work with Cardiovascular Disease Fellowship Program Administrator to provide ongoing, effective administration of all division programs to ensure fellow and faculty satisfaction Other duties as assigned
Qualifications
Required Qualifications: (Must be documented on all application materials) BA/BS with at least two years of experience or a combination of related education and work experience to equal six years Demonstrated experience successfully handling a wide range of administrative tasks with a commitment to professionalism and reliability Outstanding communication (written and oral) and interpersonal skills Ability to maintain a positive and professional demeanor when dealing with stressful situations Highly organized and ability to thrive in a deadline-oriented, multitasking environment Ability to work on campus a minimum of 3 days per week, and occasional non-standard work hours to accommodate programmatic needs
Preferred Qualifications: Experience working in Graduate Medical Education (GME) Training in and knowledge of University of Minnesota systems, policies, and procedures Experience working with physicians in an academic or health care setting Demonstrated near- and long-term project planning and implementation skills with follow-through and attention to detail Proficient with Microsoft Office, Google Suite, Canva, and web conferencing software (e.g., Zoom, Microsoft Teams, Google Meet), with the drive to learn new systems as needed
Pay and Benefits
