Position Highlights Seeking an administrative secretary to provide general administrative functions and assistance to the faculty and staff of the Gila County Extension office. This administrative support assistant will prepare documents and reports, compiling records, schedule meetings, organize and maintain information, coordinate calendars, compose correspondence and other documents, communicate with internal and external stakeholders, and assist the Director as needed. This position is located in Globe, AZ.

Duties & Responsibilities

1. General Office Support:

  • Responsible for working at the front desk at the Gila County Globe office and interfacing with the public by
    answering phone calls, greeting visitors, monitoring and redirecting incoming emails, and ensuring that public areas are welcoming and that public information is displayed.
  • Screen telephone calls and visitors referring them to the appropriate office staff or supervisor.
  • Sort and distribute mail to staff.
  • Maintain office calendars.
  • Cross-index and alphabetically file documents or correspondence.
  • Arrange for facilities and services to conduct conferences, workshops, or meetings as directed by the supervisor.
  • Assists with conference/workshop registration and setup.
  • Monitor and order office supplies.
  • Maintain office bulletin board, document holders, and general office appearance.
  • Troubleshoot technical difficulties with office equipment and computers in consultation with appropriate IT and other
    technical consultants.
  • Be willing to learn and/or attend trainings on software programs as needed.

2. Administration/Data Support:

  • Record minutes at meetings and process written report for distribution.
  • Printing and distributing reports, correspondence, technical documents, forms, and fliers.
  • Maintaining existing spreadsheets, input data to update the databases.
  • Prepare administrative forms and enter on-line functions such as payroll, p-card, staff travel, and reimbursements;
    working with the Business Manager to finalize processing.
  • Enter data, produce reports, track 4-H fee payments using 4-H Plus software. Support 4-H programs and events
    by copying and mailing needed 4-H paperwork.
  • Assist with preparation of the annual report with agent input utilizing a desktop publishing program such as
    Microsoft Publisher.
  • Work closely with the Payson office Administrative Secretary on transactions to ensure processing is complete.

3. Extension Agent support:

  • Provide administrative support to the Gila County Extension Agents (Family, Consumer Health Sciences; Forest Health; Range Management) as needed with ordering supplies, assist with setting up meetings, document printing.
