Temporary Employment Program
Job Summary Department: Cancer Shared Services
Duration: 3 months approximately
Shift timing: 9:30am-6pm or 10am-6:30pm
Responsibilities:
Utilization of Clinical Knowledge:
- Validate and document patient-reported information.
- Obtain, report, and document vital signs.
- Follow established safety, environment, and infection control standards.
- Perform routine clinical functions, including vital signs, height, weight, pain screening, and documentation of chief complaints.
- Document the use of an interpreter as appropriate.
Medication Reconciliation and Procedure Assistance:
- Assist with medication reconciliation by updating patient medication lists.
- Assist nurses and providers in preparation for exams and procedures.
- Perform sterile processing procedures, including Cidex OPA, and maintain appropriate logs.
- Assist in complex medical procedures such as Laser, TRUS, Colposcopy, Anoscopy, and IRC.
- Act as a chaperone as needed for medical providers.
General Clinical Support:
- Work as a float for all Cancer Center practices.
- Transport patients as directed and ensure their safety.
- Monitor patient flow in and out of the clinic.
- Obtain specimens and perform simple Point of Care Testing, including QA/QC and EKGs.
- Obtain specimens and perform simple laboratory procedures adhering to all policies and procedures related to specimen handling and processing.
- Complete referrals to other providers as ordered by the physician.
- Obtain authorizations from insurers for medications.
- Perform clinical activities accurately and in a timely manner.
Communication and Patient Advocacy:
- Assist physician staff in writing and sending out patient communications.
- Collaborate with all members of the practice team to coordinate patient care.
- Demonstrate courtesy and common sense in all telephone communications.
- Notify providers of patient delays and service issues, advocating for patient punctuality.
- Share pertinent information and observations with other health team members.
- Identify and communicate problems to nursing staff or appropriate supervisors.
- Offer suggestions for change or improvement in clinic/practice operations.
- Assist patients with issues and complaints using conflict management skills.
- Coordinate care and resolve patient care issues using Mercury Messaging phones.
Electronic Health Record (APEX) Utilization:
- Utilize Electronic Health Record (APEX) for documentation within the scope of practice of a Hospital Assistant.
- Document vital signs, height, weight, and pain scale.
- Enter patient chief complaints and history.
- Enter patient-reported medications and allergies.
- Order and sign POCT with signed protocol.
- Document point-of-care test results.
- Enter and "pend" scripted orders from the provider.
- Open a Medication Refill Encounter for the provider.
- Schedule laboratory, radiology, and other testing with a written order from a provider.
- Open telephone encounters.
- Open staff messages.
Operations Maintenance and Other Duties:
- Maintain clean, well-stocked exam rooms, hub rooms, and labs.
- Order and maintain supplies, as well as lab equipment maintenance.
- Review Lab log results and print results for providers upon request.
- Obtain insurance authorizations for medications, procedures, and film or slide review authorizations.
- Schedule complex procedures and coordinate services for patients.
- Assign other Hospital Assistant lunches and ensure clinic coverage.
- Adhere to infection control procedures outlined in the Infection Control Manual.
- Adhere to Ambulatory Services policies and procedures for equipment cleaning, disinfecting, and sterilizing.
- Participate in various Quality Improvement (QI) and Customer Service initiatives, such as wait time studies and outcome data collection from procedures.

Department Description UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
Required Qualifications
- Certification from an approved Medical Assistant program.
- Current American Heart Association CPR Certification
Preferred Qualifications
- One year's experience as a Hospital Assistant in a medical practice.
- Experience with insurance verification, medical record data abstraction, medical assisting, or patient financial services strongly preferred.
- Degree from accredited medical assisting school.
- Bi-lingual or multi-lingual capability (Spanish, Cantonese, Russian) strongly preferred.
- Current State of California Phlebotomy Certification (CPT1)
License/Certification
- Current American Heart Association CPR Certification
