We serve all undergraduates at Rutgers University-Newark (RU-N); and offer a broad selection of more than 2,000 undergraduate and graduate courses a year in more than 40 subjects.
Posting Summary
Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Program Coordinator I. Reporting to the Assistant Dean III, Supervisor, this position provides support to the Office of Academic Services ( OAS), School of Arts and Sciences-Newark ( SASN) and serves the initial point of contact for OAS, interacting extensively with the University community, students, prospective students, and the general public, ensuring a welcoming and responsive environment and managing all in-person, phone, and other inquiries. The Program Coordinator I carries out routine and semi-routine work within parameters for OAS and under general supervision and performs professional work that requires knowledge of general administrative and office management practices, as well as specific knowledge of University policies and procedures.

The Program Coordinator I duties include but are not limited to:

  • Effectively and efficiently supports all functions in the office, including, but not limited to, providing general advisement and triaging student and visitor needs in person, via e-mail, by phone, or by other means.
  • Effectively and accurately advises undergraduate students, responds to inquiries, and/or makes appropriate referrals.
  • Ensures efficient, organized, welcoming, and effective day-to-day operations for OAS front office, creating and maintaining an efficient team work environment and professionally responding to or appropriately routing and/or referring all in-person, phone, and other inquiries in a timely fashion.
  • Maximizes operational efficiencies, workflow, and effective communication with staff; students; faculty; the University community, including but not limited to, Admissions, Registrar, Financial Aid, Business Services and the general public.
  • Provides administrative support for academic integrity.
  • Serves as a backup payroll and procurement preparer.
  • Compiles data and drafts reports.
  • Prepares reports, and effectively and clearly communicates with team members in a timely and professional manner.
  • Assists with events, including, but not limited to, commencement activities, major/minor fair, as well as other duties as needed.
  • - Must provide timely and accurate information in response to requests and on the policies and process of the OAS, SASN, Rutgers University-Newark (RU-N), and the Rutgers University (RU) system.


This person must be able to multitask in a fast-paced, deadline-driven, student- and customer-serviced focused team environment with an understanding of the mission, vision, role, and goals of the OAS, SASN, and RU-N, and the role the tasks and responsibilities of this position play in the achievement of these goals.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Qualifications


Minimum Education and Experience

  • Requires a bachelor's degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion/outreach.
  • Also requires a minimum of two years relevant experience in a program coordination or administrative function, good communication skills, and computer literacy.

Required Knowledge, Skills, and Abilities

  • Requires excellent organizational, interpersonal, problem-solving, and verbal and written communication skills, as well as strong computer literacy
  • Must be able to handle and prioritize multiple tasks, and to interact successfully with a wide range of individuals at all levels of the University and external community


Preferred Qualifications

  • Two years experience in higher education.


Equipment Utilized
  • Regularly uses Microsoft Office Suite, Cornerstone, ROCS, HCM, Student Records Database (SRDB), NJ Transfer, School-to-School, Re-Enrollment, Advanced Placement, ImageNow, and Degree Navigator as well other applications, and know or will learn any and all systems Rutgers uses for student advisement, admissions, student academic support, placement testing, budget, human resources, payroll, event management, scheduling and space management, website and social media, and all the equipment, software, applications, and specialized materials needed to support the effective and efficient performance of this position.
