The duration of this temporary role is approximately 6 months.

This position performs a variety of general and specialized clerical and administrative tasks that are essential to the operations of all University departments, as well as other related duties as required. The role requires applying skills and specialized job knowledge within a specific area of expertise. Responsibilities may include adapting procedures, techniques, tools, materials, and equipment to meet the needs of the specialization. The incumbent may handle non-routine tasks and resolve issues or make decisions within their area of responsibility with minimal supervision.

Under general supervision, the incumbent completes operational or procedural assignments that are moderately complex and require sound judgment to resolve procedural challenges. They may also recommend improvements to existing processes and procedures. This is a staff role within the Department of Internal Medicine, providing administrative and analytical support to the UCSF Fresno Residency Program.
UCSF Fresno is a major educational, research, and clinical branch of UCSF, located in the Central San Joaquin Valley and overseen by the Office of the Associate Dean in Fresno. The Department of Medicine is the largest department on the UCSF Fresno campus and within the UCSF School of Medicine. It offers services and training at affiliated locations.

  • Applies standard office software programs that include the straightforward application of formulas; uses software to display information with both text and graphics.
  • Updates and maintains residency program Web pages on an annual process.
  • Prepares responses to routine correspondence. Drafts minutes from residency program educational meetings. Tracks house staff educational meeting attendance and lecture schedules.
  • Prepares purchase orders by researching and recommending vendors/prices/equipment and may identify substitutes. This can include office supplies and other Internal Medicine programs related needs. Responsible for keeping Internal Medicine office supplies inventory up to date.
  • Develops, organizes, and maintains filing systems, internal mailing processes, and procedures. Screens high volume of mail, program phone calls, and faxes. Maintains and stores both physical and digital resident files.
  • Oversees administrative and logistical arrangements for conferences and residency academic schedule involving multiple parties, receiving limited direction. Determines special room and equipment needs. This can include all call for residency program room reservations and residency program-related conferences such as Research and QI.
  • Assists the IM residency program during recruitment season, orientation, graduation, and times of heavy volume. This can include printing and organizing large volumes of files, sorting, and pulling relevant files during Rank Order List meeting for committee members.
  • Manages incoming verification requests and correspondence, drafting initial forms before submission to the Program Director, obtaining signatures, and securing the release of information. This may include collaborating with the GME office to secure resident files.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range. UCSF's Temporary Employment Program (TEP) recruits and hires temporary employees for immediate clerical and technical support services to UCSF Departments and various off-campus locations. UCSF departments deploy temporary employees to work on special projects, fill in for regular employees who are on vacation or leave, or to temporarily fill a vacant position during recruitment. Frequently temporary employees become successful candidates for career and limited appointment positions.
